Job Description – Operations Assistant / Co-ordinator

Sophie Robinson is an inspirational interior designer, broadcaster and entrepreneur, who is, in her own words, ‘Bonkers about colour!’ For over twenty years, Sophie has been on a mission to ‘ban the beige’, working across TV, magazines and with some of the top retailers in the country to get her message across. She is passionate about sharing her expertise, and has created online courses and workshops to help people find their own design mojo. It’s a non-stop whirlwind, but she wouldn’t have it any other way!

 

Purpose of the Role:

The Operations/Co-ordinator role is crucial to our success. In this role, you are the oil in our machine, coordinating both Sophie’s activities and the regular projects which maintain Sophie’s visibility and influence in both the digital and design world. As co-ordinator you will ensure that, as a team, we do what we say we will and that we keep our commitments to each other and to our clients – managing day-to-day routines, resolving any issues and paying close attention to the details that make the difference, you will hold our small team, our systems and our priorities together in order to free Sophie to fulfil her role as creator, visionary, and CEO of this growing enterprise.

Reporting to: Sophie Robinson

 

Responsible for:

• Organisation of Sophie’s diary and the day to day routines of the business
• Co-ordinating the activity of our marketing team
• Managing the system for our weekly podcast
• Co-ordinating our quarterly course launches
• Dealing with all administration relating to brand collaborations
• Event management for face to face workshops
• Liaising with Sophie’s agent re tv work

Essentials for the role:

• Experienced in the basics of a personal assistant/ ops co-ordinator role
• Highly organised with great attention to detail
• Forward planner
• Easily builds trust and rapport
• Loves process and routine
• Great at prioritising multiple tasks to hit deadlines
• Working knowledge of digital organisation tools eg Asana
• Must live local to Lewes in East Sussex

Key Accountabilities:

General Administration

• Calendar management
• Timeline development and management (in Asana or similar)
• Facilitation of weekly team meetings & monthly planning meetings
• Invoice & expense management
• Copyproofing
• Maintenance of the Dropbox filing system
• IT and website follow-up/maintenance

Personal Assistant to Sophie
• Diary management
• Travel arrangements
• Inbox management
• House & home management

Project Management
• Course launch admin and collaboration with marketing team
• Podcast set up and follow up
• Photo shoot organisation
• General course admin and enquiries

Brand & TV
• Dealing with enquiries
• Contract reviews

I relish a challenge and love the opportunity to take something that’s a bit disorganised, and turn it into something that’s streamlined and consistent. I see myself as the oil in the machine, making everything work as it should – smoothly, with as little friction as possible. I really enjoy planning and working out logistics too, making sure that meetings and events happen, and that they are both efficient and effective. I take great pride in ensuring that nothing gets missed, or forgotten on my watch. I care for people, and love being part of a great team, but I’m not a pushover. I also really enjoy working as a team member, and staying one step ahead of those who rely on me – I always have their back.
